If one person handles your enquiries, the free app is genuinely fine. The API earns its cost when you have a team, a CRM, or automation that needs to fire without a human.

How pricing actually works

Meta charges per conversation, a 24 hour window, not per message. Within that window you can exchange as many messages as you like for one charge. Rates vary by conversation category and by country, and India is among the cheaper markets.

The categories that matter:

  • Service conversations, started by the customer. Cheapest, and there is a monthly free allowance.
  • Utility conversations, transactional updates like order confirmations. Inexpensive.
  • Marketing conversations, promotional. The most expensive category by a clear margin.
  • Authentication, one-time passwords.

On top of Meta's rate, your Business Solution Provider adds a platform fee. Meta publishes current rates and changes them periodically, so check before you model a budget.

The template rule people trip over

You cannot message a customer freely whenever you like. Outside a 24 hour window opened by the customer, you may only send pre-approved template messages. Templates get reviewed, and overtly promotional ones get rejected.

This is also where accounts get damaged. Send marketing templates to people who did not meaningfully opt in, collect blocks and reports, and your quality rating drops. A low rating reduces your messaging limits. It is entirely possible to spend money making your own channel less useful.

When the API is worth it

It pays for itself quickly when you have any of these:

  • More than one person answering enquiries
  • Order or appointment updates currently sent by hand
  • Abandoned carts worth recovering
  • A CRM that should hold the conversation history
  • Enquiries arriving outside working hours

It is not worth it if you are simply looking for a cheaper way to broadcast promotions. That is the use case most likely to get your quality rating downgraded.

Is the WhatsApp Business API free?

No. Meta charges per 24 hour conversation window, with rates varying by category and country, and there is a monthly allowance of free service conversations. Your provider adds a platform fee on top.

Can I send bulk promotional messages?

Only to users who opted in, and only using approved marketing templates. Sending unwanted promotions leads to blocks, a lower quality rating and reduced messaging limits.

Do I need a new phone number?

The number used for the API cannot be active on the regular WhatsApp app at the same time. Most businesses use a dedicated number to avoid disrupting an existing one.
