What a CRM is actually for

A CRM system is a shared record of every person your business is talking to and where each conversation has reached. That is it. Everything else, the automations, the dashboards, the AI scoring, sits on top of that one job.

The reason to have one is not organisation for its own sake. It is that without it, knowledge lives in individual inboxes and phones, and walks out of the building when someone resigns.

Do you need one yet

You probably do not if you have one salesperson, a handful of deals, and a memory that is holding up. You almost certainly do if any of these are true:

  • More than one person handles enquiries and they duplicate contact
  • You cannot answer "how many open deals do we have" without asking around
  • Leads arrive from more than two sources
  • Follow-up depends on someone remembering
  • You do not know which marketing channel produced your last ten customers

That last one matters more than people realise. Without CRM data feeding back, your ad platforms optimise toward form fills rather than revenue.

Feature lists at the SMB end are largely interchangeable. What genuinely differs:

The India-specific part

Most CRM advice is written for markets where email is the default sales channel. In India a significant share of B2C and much SMB B2B happens on WhatsApp. A CRM that cannot attach WhatsApp threads to a contact record is missing the actual conversation.

Why implementations fail

Almost never because the software was wrong. The recurring causes:

  • Manual data entry. If reps type what the system could capture, they stop typing.
  • Too many fields. Every mandatory field is friction, and most are never reported on.
  • Stages that do not match reality. If the pipeline does not describe how you sell, people work around it.
  • Leadership accepting numbers from elsewhere. Once a forecast comes off a spreadsheet, the CRM is optional.

What a working CRM gets you

Faster response times, because leads arrive assigned. Fewer lost deals, because follow-up is scheduled rather than remembered. Honest forecasting. And the ability to tell your ad platforms which leads were actually worth having, which is where marketing and sales stop being separate problems.

Most are priced per user per month, with meaningful differences between tiers. Factor in implementation and integration work, which is frequently larger than the first year of licence fees.

Can a CRM work without sales team buy-in?

No. The most common failure mode is a system leadership wants and the team avoids. Automate data capture so using it is easier than not using it, and pilot with one team before rolling out.
